To open the application, you’ll be asked for your login-password, either received from ubidata or given to you by one of your system administrators.

Present a transport document in the event of an inspection

A driver must be able to present the transport document to any enforcement authority at any time.

From any screen in their trip, they can easily open documents such as e-IDF, e-CMR, and ANNEX VII.

What is IRIS and why is it important?

IRIS (IOP Routing Information System) is the OVAM application that manages information about organisations, users and approved systems, and allows organisations to determine with which systems their digital identification forms may be exchanged.

IRIS is an essential component of interoperability because the IOP uses this information to securely and accurately route identification forms to the appropriate systems.

By giving organisations control over their exchange preferences, IRIS ensures transparency, data protection and reliable collaboration between different approved systems.

What does this mean for your company?

If UBIDATA is not selected in IRIS, OVAM cannot forward interoperable forms and form updates to UBIDATA for your company.

As a result, you risk that:
- forms originating from other systems do not appear in UBIDATA;
- updates to existing forms do not reach you;
- your operational follow-up becomes incomplete from 15 September 2026.

How do you activate UBIDATA in IRIS?

Log in to the IRIS portal and consult the list of approved systems with which your company has concluded a user agreement.
Then select UBIDATA and enable the exchange option by setting it to"YES".
Once activated, interoperable identification forms and updates can be securely transmitted to UBIDATA via the IOP.

Step 1: Request User Rights

Ask your local administrator to assign you the role"IRIS Responsible" through the Flemish Government User Management system.

Step 2: Log in to IRIS

1. Go to IRIS
2. Sign in using eID or itsme
3. Make sure you log in on behalf of your company, not as a private individual.

Step 3: Select UBIDATA

1. Open Settings
2. Go to Preferred System
3. Select UBIDATA
4. Click Save

Step 1: Create an OVAM Account

Create an account through the OVAM authentication portal.

Step 3: Assign Roles

Send an official extract from your national trade register to:
digital.vlaanderen@vlaanderen.be

In your email, indicate that you would like access to the OVAM IRIS application and specify who will act as the local administrator.

Step 3: Assign Roles

Once approved by Digitaal Vlaanderen, your local administrator must assign the role"IRIS Responsible" to the relevant user.

Step 4: Select UBIDATA

1. Go to IRIS
2. Choose Login as Foreign Company
3. Open Preferred System
4. Click Save

Important
OVAM routes identification forms only to the systems that have been approved in IRIS by the companies concerned.
Without this configuration, data cannot be forwarded to UBIDATA.
