When to inspect a vehicle or a trailer?
These inspections can be done at various times during the driver’s day:
- When he logs in to his app, before starting his delivery schedule and hitting the road – do not let your drivers take the road with an unsecure vehicle!
- during the day, in case of an incident on the route – Provide a tool to your driver to illustrate and report an incident, not only you will be able to take immediate actions (open insurance file, warn garage or tow truck,…), but also file pictures for later evidences.
- at the end of the day, before he exits the APP
What to inspect?
The required checks can therefore be adapted to the circumstances.
As an admin user of the project, you define what to check through the ‘ADMIN / Mobile List’ page of the project.
You can therefore provide different checklists depending on the type of asset to check, or the circumstances of the check.
Examples of attention points you might ask to be checked:
hereunder a non exhaustive list of points that a Driver might check before taking the road:
- Tires
- Lights
- Oil level
- Engine error messages
- Extinguisher
- Cleanliness (external and/or internal)
- Presence of material (pallet puller, lashing bar, straps, fluo jacket…)

You can also use ubiCHECK for equipment inspections.
Our customizable forms allow you to inspect and record different parts of the equipment in the application, so you can carry out pre-use inspections as quickly as possible.

What to report?
The DRIVER can
- validate or not an item from an existing list of elements to check
- enter a free comment upon reported issue
- illustrate the issue with 1 or several pictures – These pictures are available in the CHECK-LIST report, but also in the PICTURE report.
How to be warned?
The reported problems can be managed in different ways.
Either you work with ubiTT and want to have a complete view of the state of you fleet. You then open the report page on the interface called ‘CHECK-LIST‘;
Or you want only to be informed about the issues when they occur. You then make use of the smart ‘ALERT’ system (either visible on the ubiTT interface through the ‘DISPATCHING/ ALERTS’ page, or sent by email or SMS to a fleet manager)
Who should be warned?
As a fleet manager, you need to know about the state of you fleet, and take relevant actions to keep it up and running with the minimum down time.
You need to connect closely with the maintenance manager and provide rapidly and easily any details he needs to organize a repair.
Each time an inspection is complete the system generates a predefined pdf damage report for you on your ubiTT dashboard for review. It can be downloaded and/or added to an email.
This permits either to warn a maintenance service or garage that an asset will come in soon to be repaired, and by proactively preparing the repair (check inventory of spare parts, call relevant suppliers, manage to have technician available upon vehicle return, …).
What to do next?
From the ‘CHECK-LIST‘ reporting page, one can assign oneself an asset that needs attention. The user in charge can frim there change the status all along the resolution process. It is there for also pretty easy to extract what is ongoing, what assets needs specific attention, if a specific asset is showing similar issues on a regular base.
