Let’s go step by step and make sure you fill in properly the transport order:
1. SUBMITTER
This information is not mandatory for eidf and has been added for informational purposes.
It is supposed to contain the details of the company that did request the transport: it is the company that issues a transportation order to the DEALER, or WASTE PRODUCER.
It may be the DEALER, or WASTE PRODUCER or a parent or affiliated company for administrative use.
It may also be the holder or producer of the waste.
2. COLLECTOR
Generally you enter a new transport order into the system.
Don’t change the company selection. If you believe the company details are not right, get in touch with our support and we will see together what needs to be adapted.

The CONTACT sections can be filled and changed as you want.
You are not the COLLECTOR? And you want to submit a new transport for a collector working with ubiDOCS?
Make sure the collector is really working with ubiDOCS, if he has no service prider and want to work with ubidocs, ask him to fill in an ONLINE FORM
3. WASTE PRODUCER
The OVAM requests to enter here the ESTABLISHMENT details and the pickup address that might be different.
The producer could also be a PARTICULAR… , then no identification number is required
4. CARRIER
The OVAM requests to enter here the ENTERPRISE details.
Don’t select the ESTABLISHMENT otherwise the CARRIER won’t receive the transport instructions!
Only registered CARRIERS in ubiDOCS solution can get the transport orders and assign a driver.
If it is the first time they work with ubiDOCS, they must fill in a form to access the system: ONLINE FORM
5. WASTE PROCESOR
The OVAM requests to enter here the ESTABLISHMENT details and the delivery address that might be different.
Select a belgian company
Our solution is integrated with the CBE.
You must find the company you are looking for by using the SEARC BAR: enter …
- at least 3 characters of the name
- the exact VAT number starting or not with BE
- the exact identification number
If there are too much results, make use of the ZIP CODE field to refine your search.

We limit the results to 20 items. Refine your search if needed…
We distinguish the following
- ENTERPRISE – dark blue
- ESTABLISHMENT -light blue
- PARTICULAR – yellow

Select a FOREIGN company
Our solution is NOT integrated with the VIES.
But you should verify the company details and validity before proceeding to a search in ubiDOCS.
Either the company exist in ubiDOCS database and you will find it by using the SEARC BAR: enter …
- at least 3 characters of the name
- the exact VAT number starting or not with BE
- the exact identification number
If there are too much results, make use of the ZIP CODE field to refine your search.
Or the company does not yet exist in ubiDOCS database and you will have to create it: click on ‘ADD FOREIGN COMPANY’ and enter the company details as given on the VIES web page.

Search with the name of the person.
